Tips for Script Production Coordinators

Here are the things I learned as a Production Coordinator for the Script Department!

Tip #1: Be organized.
- Track version deliveries or when scripts are expected to be received so that you can flag when a draft/deliverable is late.
- Clean up the file directory so that scripts are easy to access and you are ready to share with the team as needed.
- Stay on top of e-mails to make sure you have the latest info and copies.

Tip #2: Read the script.
- You should be familiar with the script so that you are ready to answer questions that the team may have during script reviews. This also helps you flag concerns to Prod if any.
- Make sure that directors / supervisors have the latest copy of the script and have read it before their respective kick offs / meetings / reviews.

Tip #3: Iron out the review process ASAP.
- Go over the review process with the related reviewers and stakeholders and ensure that everyone is clear on the expectation and flow of review and approval.
- Let the team know when and where they can expect revision notes / approval.

Tip #4: Sync Up with the Storyboards department.
- Ensure that your downstream department, usually Boards, and your script department are on the same page in terms of:
(a) scope
(b) constraints (creative and technical limitations)
(c) schedule
(d) references
(e) line of communication

Tip #5: Confirm how many passes each script will get.
- Check with your direct manager / producer how many drafts each script will be allotted before Final.

Tip #6: Kick off the team
- Schedule regular kick off meetings for the team and ensure that it’s clear what is expected from everyone before the start of the meeting.

Tip #7: Be clear on when deliverables are due.
- Work out targets and milestones with your team and track that they are able to deliver on time. If roadblocks or delays happen, flag it immediately to your direct manager / producer and as much as possible, suggest a possible solution.

Tip #8: Check in that your team members are okay.
- Support the team and allow for open communication by scheduling regular team catch ups or 1:1 with crew members.

Tip #9: Collate notes for downstream departments.
- Help in communicating notes for downstream departments by collecting notes that come up during Script reviews/meetings, but intended to be actioned out later down in the pipe. Establish a clear and concise way to pass the info to the next teams.

Tip #10: Sync Up with your CG Supervisors
- If working with CG departments, help manage scope by checking in with CG supervisors if certain needs described in the script are doable in CG within the time and budget of the show.
